02 — How To Run The Audit
Five steps, once a quarter.
- List every live tool with its seats and price — add a row for each one, even the ones nobody remembers signing up for.
- Mark how many seats are actually used — a genuine count, not the number licensed.
- Enter both prices where you have them — leave the annual price blank if you don’t know it; that row is excluded from the switch comparison only.
- Read the totals — annual spend, idle-seat cost, and the annual-billing saving, all computed live.
- Export the ledger and repeat next quarter — the trap ledger on the homepage explains why quarterly is the right cadence.
03 — FAQ
Real questions, short answers.
Where does my data go when I type it in?
Nowhere — all the math runs in your browser. Nothing is saved or sent anywhere unless you click the CSV button, which just downloads a file to your own device.
What if I don't know the annual price?
Leave it blank. The calculator skips the switch-to-annual comparison for that row only and still totals everything else correctly.
Does "seats used" mean logged in ever, or recently?
Your call — for the audit to mean anything, use the same definition, such as "logged in this month", consistently across every row.
How often should I run this?
The trap ledger on the AFG SaaS homepage suggests quarterly. Put the reminder on the same calendar as your renewal dates.
Can I use these totals for tax or accounting purposes?
No — this is a planning tool, not a books-of-account substitute. Reconcile against actual invoices for anything filed or reported.
